This website, chemvigil.com, is operated by Ashapura Value Service, trading as ChemVigil ("ChemVigil", "we", "us"), based in the Delhi NCR, India. For the purposes of applicable data protection law, including the EU and UK General Data Protection Regulation (GDPR) and India's Digital Personal Data Protection Act, 2023 (DPDP Act), ChemVigil is the data controller (data fiduciary) for personal data collected through this website.

2. What personal data we collect

Information you give us

When you use our contact form or request the sample report, we collect the details you enter: your name, company, work email address, phone number (optional), the substance or question you describe, your target markets and deadline, and any additional context you provide. Providing this information is voluntary, but we cannot respond to an enquiry without it.

Information collected automatically

Like most websites, our hosting provider records standard server logs when you visit, including your IP address, browser type, the pages requested, and the time of the request. These logs are used for security and to keep the website running, and are retained by the hosting provider for a limited period.

If you accept analytics cookies, we use Google Analytics to understand how visitors use the site (pages visited, approximate location, device type, and referral source). Analytics cookies are set only after you click "Accept" on the cookie notice. See section 6 for details.

We do not knowingly collect special-category (sensitive) personal data through this website, and we ask that you do not include it in your messages.

3. How we use your personal data

• To respond to your enquiry, prepare a proposal, and send you the sample report you requested.
• To communicate with you about an engagement, including scheduling calls and delivering reports.
• To keep a record of enquiries and correspondence for our business records and to meet legal obligations.

We do not sell personal data, and we do not use it for automated decision-making that produces legal or similarly significant effects.

Where the DPDP Act applies, we process your personal data on the basis of the consent you give when submitting a form, or for the legitimate uses recognised by that Act. You may withdraw consent at any time by contacting us; withdrawal does not affect processing carried out before withdrawal.

5. How long we keep your data

Enquiry and sample-report request data is kept for as long as needed to respond to you and for up to 24 months after our last contact, so that we can follow up on an open enquiry. If you become a client, the information forms part of our engagement records and is kept for the duration of the engagement and for the period required by applicable law and professional practice thereafter. Server logs are retained by our hosting provider for a limited period. Analytics data is retained in Google Analytics for 14 months.

6. Cookies and analytics

This website sets no advertising or tracking cookies. It uses:

• A consent preference stored in your browser (local storage) so that we remember whether you accepted or declined analytics cookies. This is strictly necessary and contains no personal data.
• Google Analytics cookies (such as _ga and _ga_*), set only if you click "Accept". These help us understand aggregate usage of the site. Google Analytics is provided by Google LLC; IP addresses are truncated and data may be processed on Google servers outside your country. You can learn more at policies.google.com/privacy.

7. Who we share your data with

We share personal data only with service providers who help us run the website and our business, and only to the extent necessary: our web hosting provider (which stores the website, form submissions, and email), and Google (analytics, only with your consent). These providers act on our instructions and are bound by contractual confidentiality and data-protection obligations. We may also disclose personal data where required by law, regulation, or legal process.

We never disclose the identity of our clients or the substances they enquire about to third parties, other than as required by law.

8. International transfers

ChemVigil is based in India, and personal data you submit is processed there. If you are located in the European Economic Area, the United Kingdom, or another jurisdiction with data-transfer restrictions, your data will be transferred outside that jurisdiction. Where required, we rely on appropriate safeguards such as standard contractual clauses, or on your explicit consent given when submitting a form. 9. Security

The website is served over HTTPS, and form submissions are transmitted using encrypted connections. Submissions are stored in access-restricted locations on our hosting account and in our business email. Client engagement materials are handled under NDA and stored securely. No method of transmission or storage is completely secure, and we cannot guarantee absolute security, but we take reasonable and appropriate measures to protect your data.

10. Your rights

Depending on where you are located, you may have the right to: access the personal data we hold about you; have inaccurate data corrected; have your data erased; restrict or object to our processing; receive your data in a portable format; and withdraw consent where processing is based on consent. Under the DPDP Act, you additionally have the right to grievance redressal and to nominate another person to exercise your rights in the event of death or incapacity.

To exercise any of these rights, email info@chemvigil.com. We will respond within the period required by applicable law, and normally within 30 days. If you are not satisfied with our response, you have the right to lodge a complaint with your local data protection authority (in the EEA or UK) or with the Data Protection Board of India.

11. Children

This website is intended for business users and is not directed at children. We do not knowingly collect personal data from anyone under 18.

12. Changes to this policy

We may update this policy from time to time. The date at the top of the page shows when it was last revised. Material changes will be highlighted on this page.
